Introduction

Cairnix is a data and automation practice based in India. We read documents, reconcile records, analyse numbers and build small tools for businesses, and we offer a digital assistant for calendars, meetings and inboxes.

This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and the choices you have. We will update it when our practices change.

How We Collect and Use Your Personal Information

We collect personal information that you give us, such as:

• Name
• Job title
• Company name
• Work email
• Work phone number
• Messages you send us, and files you choose to share for a demo or a project

We use it to reply to you, to build demos, to deliver projects and to give support. We do not sell personal information. We share it only with providers that help us deliver our services, as listed below.

Use of the Cairnix Website

Our web server keeps standard access logs. They include your IP address, browser type, operating system, the pages requested and the date and time. We use them for security and to fix faults.

The website has no forms. If you email or call us, we receive what you send.

Cookies and Tracking Technologies

The Cairnix website does not set cookies and does not use analytics, advertising or tracking tools. Fonts and images are served from our own server, so your browser makes no requests to third-party font or tracking services.

If you sign in to a hosted demo, it uses a session cookie that is needed to keep you signed in. It is not used for tracking.

Use of the Cairnix Services

A demo starts on sample data. We use your real files only after we agree with you how they will be handled, and only to deliver the demo or project you asked for.

• Only the documents you choose are sent for reading.
• Documents you mark as sensitive are kept out.
• Spreadsheet jobs can run on fixed rules only, without being sent anywhere.
• Each customer sees only their own files.
• We record who ran which job and when. For each file we keep a fingerprint, not its contents.

Sharing Information with Third Parties

We use a small number of providers to deliver our services. We do not permit them to use your data for their own purposes.

Third-party providers

• Anthropic: reads the documents you choose and answers questions about your data.
• Amazon Web Services: hosting for our hosted tools, on servers in India.
• Google Workspace: email.

We may also share information to comply with the law, to enforce a contract, or to protect rights, safety and property. We will not share it for any other reason without your consent.

Transferring Personal Data outside India

Our hosted tools run on servers in India. The service that reads the documents you choose may process them outside India. We send only the documents you choose, and you can mark any document as sensitive so that it is never sent.

If you share a document for reading, you agree to this transfer. Contact us if you need a different arrangement.

Your Rights

Under India's Digital Personal Data Protection Act, 2023 and similar laws elsewhere, you have the right to:

• Be informed about how your data is used
• Access your data
• Correct your data
• Erase your data
• Withdraw your consent
• Limit or object to how it is used
• Receive your data in a usable form, where it applies
• Raise a complaint

To use any of these rights, write to us at the contact above. We reply within a reasonable time, and access is free unless a request is repeated or excessive.

Security of Your Information

Hosted tools are kept on login-protected servers. Each customer sees only their own files. Access is limited to people and providers who need it and who are bound by contract. No system is perfectly secure, and we will tell you promptly if we learn of a breach that affects your data.

Data Storage and Retention

• Customer files: kept as agreed with you for each project. You can ask us in writing to delete or return them.
• Job records: who ran which job and when, with a fingerprint of the file, kept so that work can be traced.
• Prospect details: kept until they are no longer useful for the conversation.
• Deletion requests: we delete data on a verified request from you or your authorised representative.

Children's Data

Our services are for businesses. We do not knowingly collect personal information from children.
